Thiscovery and HealthKey work together to decide how your survey answers are collected and used. Both have to follow the law to keep your information safe.

What information we collect: Your survey answers about your experiences using HealthKey services over the past 7-10 weeks, your HealthKey usage data from your account, and optionally your email address
Who sees your personal details: The research teams at Thiscovery and HealthKey. HealthKey already has your name, email, and health information from when you created your account about 7-10 weeks ago. They will receive your survey answers for their own research analysis.
Your rights: You can see, correct, or delete your information before we transfer it to HealthKey. After transfer, contact HealthKey directly.
How long we keep it: Thiscovery keeps identifiable details for up to 6 months after the project ends, then removes names and keeps anonymous answers for up to 2 years. HealthKey keeps data according to their retention policy, for up to 12 months after account deletion.

What does taking part involve?
How to take part in this survey:
- Complete a short consent form
- Complete the survey about your experiences using HealthKey and your perks
- Optionally, share thoughts on improvements and future use
The main survey asks you about:
- Which HealthKey services you used
- Your satisfaction with each service
- How easy or difficult the platform was to use
- How valuable HealthKey has been for you
- Whether you'd continue using HealthKey services
- What improvements would make HealthKey better
Do I have to answer all questions? No. Skip any you don't want to answer. We get better information if you answer more, but only answer what feels OK to you.
How long does it take? About 10-15 minutes. You can take as long as you need.
Can I take breaks? Yes. Your answers are saved as you go. Use the same device and browser to continue where you left off.
Is there a deadline? Yes. The deadline for this survey is 4 March 2026.
Can I change my mind? Yes. You can stop taking part at any time without giving a reason. Email help@thiscovery.org if you want to withdraw.

Benefits of taking part:
- Share your honest experiences with HealthKey services
- Your feedback will directly help HealthKey and Freedom Leisure improve their offering to members
- Help other leisure centre members by shaping future digital health services
Possible risks:
- Some questions ask about your experiences with health services. This might make you think about health challenges or disappointments with services.
- Reflecting on services you didn't use or didn't find helpful might feel uncomfortable.
- You might feel tired after answering questions for 10-15 minutes.
- You can stop taking part in the survey at any time if you feel uncomfortable.

What happens to your answers?
How we use your answers:
- We combine everyone's answers to understand what leisure centre members think about HealthKey’s digital health services
- We will analyse the answers and create an insights report
Both organisations receive your data:
- Thiscovery receives your survey responses and HealthKey usage data, and will create an analysis report for HealthKey.
- HealthKey receives your survey responses (including your name and email), your HealthKey usage data, and Thiscovery's analysis report
- Freedom Leisure Centre will not receive any of your data from Thiscovery or HealthKey, but they will receive reports on the findings (which won’t be able to identify you).
Why HealthKey gets your information:
- They need your survey responses to understand how their services meet user needs
- They may use the data for their own research and service improvement
- They already have your usage data from your HealthKey account
How you can learn about the results: If you give us your name and email address, we'll send you a summary of what we found.
How we protect your information
What we collect:
- From this survey: Your answers about which HealthKey services you used, your experiences with these services, your satisfaction levels, what worked and didn't work, your views on trust and value, and how HealthKey affected your use of other health services
- From HealthKey: Your usage data showing which services you accessed and when
- Your contact details: Email address (optional - only if you want to hear about results or other Thiscovery projects)
Important: HealthKey already has your name, email, and health assessment results from when you created your account about 7-10 weeks ago. This follow-up survey does not collect any new health assessment information - we only ask about your experiences using the services.
How we use it:
- Thiscovery creates an analysis report about user experiences with HealthKey services
- Both Thiscovery and HealthKey receive your individual survey responses with your name and email
- HealthKey may do additional analysis for their own research and service improvement
- Important: Thiscovery only analyses your experience and feedback about using HealthKey services. We do not receive, see, or analyse your health assessment results - these remain with HealthKey.
Keeping it safe:
- Your data is encrypted, stored securely, and only accessed by the research teams
- We follow research governance standards and UK data protection law
- Both organisations have data protection obligations
How long we keep it:
- Thiscovery: Survey answers with identifiable details for up to 6 months after the project ends, then removes names and keeps anonymous answers for up to 2 years
- HealthKey: Will keep your data for up to 12 months after account deletion, in accordance with their retention policy.
- Summary reports (with no names): Thiscovery might keep these longer to help with future research
- Your email: Until you ask us to delete it, or automatically after 24 months if you haven't been active
Legal basis: We have a legitimate interest in conducting research that might help improve HealthKey’s health perks for leisure centre members. We've balanced this against your privacy rights and believe the research benefits justify the minimal privacy impact.
Your rights and choices
Under UK data protection law, you have the right to:
- Access - See what information we hold about you
- Correct - Fix any incorrect information
- Delete - Ask us to remove your information (before we transfer it to HealthKey)
- Object - Tell us to stop using your information
- Withdraw - Change your mind about taking part
Important: Once we transfer your information to HealthKey, they become responsible for it. You'll need to contact HealthKey directly to exercise your rights regarding data they hold.

While you're taking part:
- Only the Thiscovery and HealthKey project teams see your answers with your details
- You submit your name and email address in order to access the HealthKey platform at the end of the survey
- All information is encrypted and stored safely
After you complete the follow-up survey:
- Thiscovery analyses all responses and creates a report
- HealthKey receives:
- Your individual survey responses from this follow-up survey
- Your baseline survey responses (from about 7-10 weeks ago when you first signed up)
- Thiscovery's analysis report
- Your HealthKey usage data (they already have this from your account)
What this means for you:
- HealthKey already has your name, email, and health information from when you created your account about 7-10 weeks ago
- Both organisations can see which survey answers came from you
- HealthKey can connect your survey responses to your actual service usage
- You won't be contacted for sales because of this research
- Both organisations follow strict rules to keep your information safe

- Thiscovery already has your baseline survey responses about your initial expectations and digital health attitudes
Important: This follow-up survey does not collect any new health information. We only ask about your experiences using the services over the past 7-10 weeks.
Why we can use your information
This is research: We're doing this research to understand how leisure centre members use and value digital health services like HealthKey over about 7-10 weeks of access, and how these fit alongside NHS care. This is not for sales or marketing.
We're allowed to use your information because:
- We have a legitimate interest in conducting research that might help improve digital health services for leisure centre members
- We've balanced this against your privacy rights and believe the research benefits justify the minimal privacy impact
- We keep your information as safe as we can
Your health information: HealthKey already collected health information when you created your account about 7-10 weeks ago. This follow-up survey does not collect new health data - we only ask about your experiences. Thiscovery does not see your health assessment results - these remain with HealthKey. Freedom Leisure Centre does not see your health assessment results.

- The Freedom Leisure Centre (though summary findings may be shared)
- Marketing companies
- Third parties for commercial purposes
What HealthKey receives in detail:
- Your individual baseline survey responses (already shared after first survey about 7-10 weeks ago)
- Your individual follow-up survey responses
- Your usage data showing which perks you accessed and when over the past 7-10 weeks
- Your health assessment results (they collected these when you created your account about 7-10 weeks ago)
- Thiscovery's analysis report with anonymous summaries
Why HealthKey needs identifiable information:
- They already have your account and contact details
- To understand how survey responses relate to actual service usage over the past 7-10 weeks
- To improve their services based on user feedback
- For their own research and service development
What Thiscovery receives:
- Your survey responses about your experiences and feedback
- Usage data from HealthKey showing which services you accessed
- Thiscovery does not receive your health assessment results - these remain with HealthKey
How long we keep your information
Thiscovery:
- Survey answers: We keep identifiable details for up to 6 months after the project ends, then remove names and keep anonymous answers for up to 2 years
- Summary reports (with no names): We might keep these longer to help with future research
- Your email: Until you ask us to delete it, or automatically after 24 months if you haven't been active
HealthKey:
- Will keep your survey responses, contact details, health data and usage data for up to 12 months following HealthKey account deletion.
- Follow their own data retention and deletion policies

You can:
- Stop taking part at any time
- Skip questions you don't want to answer
- Choose not to use HealthKey services (though we hope you'll try them)
- Ask to see what information we have about you
- Ask us to fix wrong information
- Ask us to delete your information (before we transfer it to HealthKey)

- Once we transfer your new survey data to HealthKey, we can't retrieve it or delete it from their systems
- HealthKey will have their own procedures for handling data access and deletion requests
- You can close your HealthKey account at any time, but this doesn't remove data already collected for research
How we keep your information safe
We use secure systems:
- All information is encrypted (scrambled) and stored safely
- Only the research teams can see your information
- We follow strict security rules
- We use certified deletion when we remove data
- Transfer security: Data is encrypted during transfer to HealthKey
HealthKey security:
- HealthKey follows their own data security procedures and UK data protection law
- Your HealthKey account is password protected
- Health data is stored securely
Important: Sending information over the internet is never 100% safe. We do our best to protect it, but we can't promise complete security.

- What the research found about digital health service usage and value over about 7-10 weeks
- How this is being used to improve digital health services for leisure centre members
